How to Request Reproductions & Permissions

Whether for your class presentation or for a major publication, requesting copies of images, books and documents can be a bit daunting. This page is designed to help our patrons understand our reproduction request process here in Special Collections & University Archives

First

Have you registered with us before? Take a few minutes to fill our our Patron Registration Form. This allows us to see how our collections are being used and how we can improve them. Should you choose to come and research the materials in person in the same semester, you will not be required to fill this form out again.

Second

Decide what reproductions you will need and fill out our Reproduction Request Form. Here you will list the types of images you want and how you want them. Not enough room? List your request on a separate sheet of paper and submit it with the original form. This form also helps us determine what work we need to do to the images. The Reproduction Request Form DOES NOT give you permission to publish any requested reproductions.  Also, take a look at our Pricing Schedule to see what we charge for various reproduction services.

Third

Fill out our Permission to Use Request Form. This form DOES NOT AUTOMATICALLY give you permission to use the images. You must submit a signed copy of this form to us. For those out of the area, you can fax or submit a PDF copy of the signed form but you MUST still mail a hard copy.

Fourth

Hand deliver, fax or email the Reproduction Request and the Permission to Use request forms back to us. Please keep in mind, the copyright on several of our collections is still held by the creator's family. We will let you know on your initial contact with us if there are copyright restrictions with the collection you want to use. Please allow at least two weeks lead time should we need to contact a copyright holder.

Fifth

Once we have processed the Permission to Use form and obtained copyright clearance (if needed), we will send you an email invoice. We accept cash, check and all major credit cards. A representative with the UCF Libraries Infosource department will contact you to arrange payment. Once payment is made in full, we can release the images to you. We also have a variety of delivery options to suit your needs.

In addtion to the links in the text above, a list of links to the forms you will need can be found below. Should you have any questions about our procedures or the forms, please call our office at (407) 823-2576 or drop us an email at speccoll@ucf.edu
